Effective Meetings Begin With a Real Agenda
Someone starts a session with the words: “Let’s talk about the budget.” And you complain because you know what will happen next: one hour of discussion without end, without a solution to everything.
Why?
Firstly, everyone knows that the agenda is the key to an effective meeting.
But a program that is on a list of names, such as budget, software exists, and picnic, is useless. In fact, it could also ensure that a meeting will be a waste of time.
Is here to prepare, like a real program that you will take control of the session.
- Purpose. Any real agenda begins with the objective that describes the desired result at the end of the session, as the discount: find a way of travel expenses by 10%. Ideally, this should be clearly explained so that someone else could use it for a meeting, that the result of design.
- Results. It describes the benefits of achieving the goal, so why you are holding the meeting. For example, the advantage could be the travel expenses that will cost you to make the budget.
- measures. This provides a blueprint (or instructions) is set for the session. Ideally, these descriptions of the activities contained in the group and help you reach your goal for participants of the session. Do you support this list with an estimated budget for each activity.
- tasks. Tell the participants how to prepare for the session (), for example, your department for investigative costs Travel in the last quarter. Also tell them what they need to (for example, make a copy of the budget). Participants prepare a meeting more effective and efficient.
- Logistics. Provide basic information on the time and place of the meeting. When participants from other offices, be sure to include directions and maps. In general, all information that people need so they can perform best.
The small amount of time needed to prepare a real agenda will help keep meetings shorter and more efficient.
